Nikon Lenswear brought customers and guests from around the world to Tokyo for its multi-day Moment Maker Event.

The challenge was not simply registration. Different groups had different schedules, languages, travel information and communication needs, while the organising team, group leaders and local partners all needed to stay coordinated throughout the event.

Cothena provided one connected system for the programme, guest itineraries, multilingual content and event communication.

The challenge

One event, many different guest journeys

The underlying event programme was complex, but no guest needed to see all of it. Each group needed a clear itinerary containing only the activities, locations and information relevant to them.

Nine languages

Guests were travelling from around the world, so schedules, supporting information and notifications needed to be available in their preferred language.

With a multi-day programme and hundreds of guests moving between activities, the organising team needed a reliable way to send the right update to the right group at the right time.

Event information was localised into nine languages, allowing international guests to use the programme in their preferred language.

Notifications could be scheduled for specific groups and delivered in the appropriate language, helping the organising team keep guests informed throughout the event.

Simple mobile access

Guests could access their itinerary through a QR code without going through a conventional account-registration process.

Additional information in one place

Guest itineraries included practical information such as flights, hotels, emergency contacts and other group-specific details alongside the event schedule.

Connected coordination

Organisers, group leaders and local partners worked from the same underlying event structure while receiving views and information appropriate to their roles.

From complex programme to personal experience

The important part was not simply putting the programme into an app.

The organising team could manage one connected programme while hundreds of attendees received a much simpler view: where they needed to be, when they needed to be there, and the information relevant to them.

When different groups required different schedules, languages or supporting information, those variations could be managed without creating an entirely separate event operation for each audience.
