Do I have to use Cothena for registration and ticketing?

Do I have to use Cothena for team communication?

Can we get our data back out?

Yes. Customer and registration data can be exported as CSV or JSON, and email delivery history can also be exported for reporting and record-keeping. Role-based controls can limit sensitive information in exports when external partners or suppliers need access.

What are sub-spaces?

How does capacity management work?

Set capacity at the level that makes sense for the venue, from an entire room down to individual sub-spaces. Availability stays connected to the activities and bookings using that space.

Does it support multiple time zones?

Can I copy a package to another season or city?

Can I test a balancing rule before applying it?

Can several people register on one booking?

Cothena connects to your own payment providers, including Stripe, Adyen, Mollie, Revolut, Square and SumUp. Payments are routed to your connected accounts, so Cothena does not sit between you and your revenue.

Does every booking get an invoice?

Yes. An itemised invoice can be generated automatically for each booking, including pricing and tax. If an unpaid booking changes, the invoice can be updated so staff and customers see the current amount due.

Can I route different revenue streams to different accounts?

Yes. Different product lines can route payments to different connected accounts, making it easier to separate revenue across brands, partners or parts of the operation. Cothena also checks that the selected payment setup supports the currency being used.

Do I need to match payments to invoices manually?

Which public holidays can I see?

Does this mean we still need separate handover documents?

How does Cothena protect our data?

Cothena is designed with security built into the platform, including encrypted authentication, protected handling of sensitive configuration, and verification of payment-provider communication. Payments are processed through your connected payment provider and settle into your own account, so Cothena does not hold your funds.

Yes. A small workshop can use a simple schedule and booking flow, while a larger event can add multiple venues, roles, guest groups, booking pages, schedules and operational workflows. You only configure the parts your event actually needs.

Does the guest app work offline?

Yes. The guest app keeps relevant event and schedule information available on the device, so attendees can still access what they need when connectivity is poor or unavailable. When connectivity returns, the app can synchronise updated information.

Getting started and support

How do I get started?

Book a conversation and tell us about an event you are actually running. We can use that as the context for showing how Cothena would fit your schedules, registration, team, venues and guest experience.

What does Cothena cost?

There are two ways to buy, and the pricing page has a calculator for both. Pay per Event prices one event at a time: an event platform fee covering the people who manage it, plus the people who register. Annual buys a year of capacity, with your registration allowance pooled across every event you run. Neither is priced per seat or per month, and both are the same platform.

Is the attendee mobile app included?

On an annual plan, yes — it is included for every event the plan covers. Paying per event it is an optional add-on, priced by the size of the event that needs it, and you turn it on for the events that want one. Either way it is the same app.

Should I pay per event or take an annual plan?

It depends on how often you run. Pay per Event suits an occasional programme — you pay for the event in front of you and nothing recurs. Annual suits a year-round schedule: you buy a capacity envelope, registrations pool across all your events, the attendee mobile app is included, and the rates work out lower as the programme grows. The calculator on the pricing page prices both, so you can compare your own numbers rather than guess.

Do I lose my account or my setup between events?

No. Your Cothena organisation is permanent regardless of how you buy. Run one event, come back a year later and run another, and your team, venues, past events and configuration are all still there. An annual plan buys capacity for the year — it is not what makes the account persistent.

What happens if I go over an annual allowance?

You pay for what you went over at your plan's rate, rather than being pushed onto the next plan up. Two events more than your plan includes costs two additional events, not an upgrade. Team size is the exception: it decides which plan fits rather than adding a charge per person, so a team beyond a plan's capacity moves to the next one. The calculator costs every plan you are eligible for and recommends the cheapest — which is sometimes the larger plan, and it will tell you why when it is.

Are annual registrations monthly or per event?

Neither. The allowance is pooled across the whole contract year and it does not matter how you spend it. Eight thousand registrations could be eight events of a thousand, or twenty uneven ones, or two large ones and a dozen small — nothing resets monthly and nothing is reserved per event.

Is there a discount for non-profits?

Yes, in both models, though the rate differs between them — the pricing page shows the current figure for each. Paying per event it comes off the event platform fee and the registrations; on an annual plan it comes off the plan's base price. It does not extend to annual overages, or to the mobile app where that is bought as a per-event add-on. There is no automatic verification behind it; we confirm eligibility together before anything is signed.

What if my event is bigger than the calculator allows?

Then it needs a conversation rather than a number off a page. Past the limits on the pricing page — for a single event or for a year — we stop quoting instead of stretching the same figures to fit, because at that scale the shape of the operation changes enough that extrapolating would be guessing. Tell us what you are running and we will put together a tailored setup and a proposal for it.

Is there a free trial or self-service signup?

Not currently. Cothena is set up with you so we can understand the event, configure the right starting point, and make sure your team is ready to use it before you depend on it operationally.

Do you offer onboarding support?
